Event Guidelines
What are the event procedures?
After consultation with a Sales Manager, a Letter of Agreement outlining your event is formulated. The space will be held for ten (10) days while you review the Agreement. A deposit is required to confirm the arrangements. If the Agreement is not returned by the due date, it is assumed that other arrangements have been made and the terms of the Agreement are nullified. When the Agreement with deposit is received by the due date, a Letter of Confirmation and a copy of the fully executed Letter of Agreement is emailed to you for your records.
What are the Banquet policies?
We are at your service to accommodate special requests, but to ensure the safety of all our guests and comply with local health regulations, neither patrons nor their guests are allowed to bring food and beverages into the function area. Food may not be taken from the function area, and buffet lines will remain open no longer than 1 1/2 hours.
What are the Beverage policies?
TradeWinds Resort is the only licensee authorized to sell and serve liquor, beer, or wine on the hotel premises. Therefore, we cannot allow any of the above to be brought into any of our function areas by outside services. The law prohibits the sale and service of liquor prior to 11 a.m. on Sundays. State law prohibits the serving of alcoholic beverages, including beer and wine, to any person under the age of 21 years. As a responsible vendor of alcoholic beverages, TradeWinds Resort requires proper proof of age from anyone appearing to be under 35 years of age.
What are the Function Room policies?
Much of the success of your event depends on the atmosphere of your surroundings. We will work closely with you to achieve the overall experience you desire. The attendance you anticipate and the set up you require are the primary factors in your function room assignment. Revisions in these requirements may necessitate changes to a more suitable room. Likewise, our schedule is based upon the attendance of your event. Revisions in details, such as the number of guests in attendance, times, dates, or set up, may necessitate a revision or application of rental fees.
What are the Outdoor ceremony and reception policies?
To provide the best possible function, a decision on moving an outdoor function inside will be made by the Convention Services Manager four (4) hours prior to starting time. A forecast of 40 percent or greater chance of rain will determine location.
What is the menu pricing?
Our culinary staff uses only the freshest ingredients in preparing your meals. Due to market conditions, menu prices may change without notice unless confirmed by a signed Banquet Event Order. All food and beverage prices are subject to applicable sales tax (7 percent) and service charge (25 percent).
What is the final attendance guarantee policy?
To best serve your guests, a final confirmation of attendance or "guarantee" is required five (5) business days prior to your event. This count may not be reduced within this time period. However, we will be prepared to serve 5 percent more than the final guarantee. If no guarantee is received by the specified time, TradeWinds will charge for the expected number of guests indicated on the Letter of Agreement and the Banquet Event Order.
What is the payment policy?
Full prepayment must be received ten (10) days in advance of your function based upon the "estimated guarantee" of guests. Please see your Letter of Agreement for additional information.
The Booking Process
We want to have our ceremony at TradeWinds but want to have the reception elsewhere or not have a reception. Can we book a ceremony without a reception?
In order for us to reserve space for a wedding ceremony, your ceremony must be booked in conjunction with a wedding reception. Please ask one of our Catering Sales Managers about options for groups with less than 35 guests.
Can we have a small wedding?
Yes, TradeWinds will happily reserve ceremony and banquet space for weddings with 35+ guests. Please ask one of our Catering Sales Managers about options for groups with less than 35 guests.
Can we do an outside reception instead of inside?
Yes, we execute many outdoor receptions during certain months of the year, and we always reserve backup space in case of inclement weather. We do not allow outdoor receptions during our summer months which include June, July, August, and September. However, please keep in mind that all outdoor events must end at 10 p.m. due to the city’s noise ordinance, and all outdoor functions must be buffet or hors d’Oeuvres style.
Are we able to host a destination wedding at TradeWinds?
Yes, TradeWinds actually hosts many destination weddings throughout the year. We will be happy to help you plan a long-distance wedding via phone, e-mail or fax.
Is a deposit required to reserve space?
Yes, a non-refundable $2,000 deposit is due with the contract as well as 20% of your total room block, if you decide to block rooms. Additional deposits will be required before the wedding date, and the total balance must be paid in full 10 days prior to the wedding.
Are the services of a Wedding Coordinator included in our package price?
Yes, a Wedding Coordinator will be assigned to you as part of the Ceremony Package. Our Catering Sales Manager is available to assist with any resort arrangements. However, please note the Catering Sales Manager will not be your Wedding Coordinator; the Catering Sales Manager is responsible for providing space for your ceremony and/or reception and for the food/beverage served.
Room Block Reservations
Is there any room discount offered to my guests, like room block discounts?
Your Catering Sales Manager will be happy to assist with a discounted group block rate and provide information regarding room discounts. Please note, brides and grooms enjoy a two-night stay as part of the Ceremony Package.
If I’m having my wedding at a different venue, can I still block rooms for my wedding guests at TradeWinds?
Yes, room blocks start at 10 rooms and require a signed contract and deposit. Please email weddings@twresort.com. Be sure to also ask about the possibility of other weddings events such as a rehearsal dinner or farewell breakfast!
We have welcome bags for out-of-town guests. Can the Front Desk hand out gift bags at check in?
The front desk is able to hand out a card or note at check-in, but not bags or gifts. Gifts can be delivered to your registered guests for a fee of $5 per gift per room/suite. Let your Catering Sales Manager know if you want deliveries.
What is the check-in / check-out time?
Check-in time at the TradeWinds is 4 p.m. We cannot guarantee early check-in unless you reserve your room for arrival the previous day. An additional night fee will apply. Check-out time is at 11 a.m. Arrangements can be made to store luggage for later departures. Please advise your guests accordingly.
Our pet is an important part of our lives, and we want him to be part of our wedding day. Is our pet allowed at the ceremony/reception?
We welcome small pets as overnight guests of the resort. However, pets are not allowed in any of our banquet rooms/spaces, and are not permitted on the beach per St. Pete Beach Ordinance. Please review our pet policy online, or ask your Catering Sales Manager for additional information regarding pets at the resort.
Wedding Receptions
Is the wedding cake included in the package price?
Our packages include cutting and serving of the wedding cake, but the cake itself is not included. Your Catering Sales Manager will be happy to recommend a bakery for your cake needs.
Is parking provided for our guests?
On the wedding day, there will be a parking charge of $10 for each vehicle. Self-parking for overnight guests is $25 per night, per vehicle.
Do menu prices include a cocktail hour?
Yes, packages include three or four hours of bar and some type of hors d’oeuvres. We typically use one of the three hours of bar during cocktail hour and serve the hors d’oeuvres that are included with your menu selection at this time. You also have the option of adding hot and/or cold butler-passed hors d’oeuvres to your cocktail hour.
We want our bar to be open for longer than what your package includes. Can we add more time to the bar?
Yes, each additional hour for the bar is $10 - $11 more per person based upon the package selected. We can also convert your bar to a cash bar after your bar package time is up.
Does the resort provide any decorations?
Yes, for an indoor reception we provide mirror tiles and votive candles. Some people use these in addition to a floral centerpiece provided by an outside vendor.
Can I bring my own decorations?
Yes, you can bring your own decorations or arrange these through an outside vendor. However, please note, you or your vendor will be responsible for setting up and breaking down of any decorations.
Does the resort provide chair covers and linens for each table?
The resort provides double white linens (partial length) and white napkins for your banquet, as well as white skirting for all additional tables. The resort does not own any chair covers, but you can order them from a linen company, and we’ll be happy to provide recommendations.
We have a large number of children attending our wedding. Are there discounts for children attending the wedding reception?
Please check with your Catering Sales Manager for additional information.
